One crew, one plan, and a rule that the athlete's race comes first. Everything else is scheduling.
Race week is the least controllable shoot in commercial photography. The answer is not more control; it is fewer things that need it.
Before
Recce the course for light and access. Agree the three frames every partner needs. Shoot the calm material — travel, kit, the town, the morning — while there is still time to shoot it properly.
During
Nothing is asked of the athlete on race day. The crew works around them, the panning shots happen at speed, and the failures are accepted as part of the record.
After
Hand over a single, rights-cleared set that every partner can use in their own channels, with the raw footage archived for the region. The material should still be usable two seasons later.
